Description: General Statement of Duties:
Responsible for front desk operations in a busy medical office, including patient check-in and check-out, answering phones, scheduling appointments, and supporting administrative needs to ensure an efficient and professional patient experience.

Performance Requirements:

- Proficiency with EMR systems, scheduling software, and general computer use
- Ability to multitask and remain calm under pressure

- Professional appearance and demeanor
- Maintain confidentiality and comply with HIPAA regulations
- Knowledge of insurance basics, co-pays, and billing (preferred)
- Ability to work independently and as part of a team

Essential Functions:
- Greet patients warmly and professionally at check-in
- Verify and update patient demographics and insurance
- Collect co-pays and outstanding balances
- Provide and collect necessary intake forms
- Notify clinical staff of patient arrival/status
- Schedule follow-up appointments & provide visit summaries
- Manage scheduling (appointments, reschedules, cancellations)
- Answer and direct calls, take and relay messages
- Monitor/respond to voicemails and inbox messages
- Maintain a clean and organized reception area
- Scan and upload documents into EMR
- Process incoming/outgoing faxes and mail
- Support admin tasks and collaborate with staff
- Maintain patient confidentiality and privacy

Marginal Functions:
- Attend staff meetings and trainings
- Assist with insurance verification or prior authorizations (if trained)
- Maintain front desk supplies and forms
- Provide coverage at other locations when needed
- Monitor waiting room activity and patient needs
- Support onboarding of new/temp front desk staff
- Stay current on office policy/procedure changes
- Ensure HIPAA, OSHA, and protocol compliance
- Perform other duties as assigned

Education:
- High school diploma or equivalent required
- Completion of a medical office assistant/administrative program preferred

Credentials:
- CPR certification preferred

Experience:
- At least 1 year of experience in a medical office preferred
- Experience with EMR, scheduling systems, and multi-line phone systems a plus

Job Relations:
- Works closely with clinical staff, providers, and office leadership
- Reports directly to: Support Services Supervisor

Working Conditions:
- Fast-paced, well-lit, climate-controlled medical office
- Repetitive tasks with potential for frequent interruptions

Physical Demands:
- Frequent sitting, computer use, and phone work
- Some walking and standing required
- Ability to lift up to 20 lbs (e.g., office supplies or patient files)
